How VODsense processes information for its website and Windows application.
Effective: September 3, 2026
VODsense ("VODsense," "we," "us," or "our") provides software and related web services for gameplay VOD review and coaching.
This Privacy Policy explains the information that may be processed when you use VODsense.
1. Information We Process
Account information
When you create or use a VODsense account, information associated with authentication may be processed, including your email address, account identifier, and authentication/session information.
VODsense uses Supabase for account authentication and related backend services.
Subscription and billing information
VODsense uses Stripe to process subscriptions and payments. VODsense may receive and store limited billing-related information needed to determine account access, such as:
- Stripe customer identifiers
- subscription identifiers
- subscription status
- selected plan
- trial eligibility/status
VODsense does not directly store complete payment-card numbers. Payment information is processed by Stripe according to Stripe's own privacy and security practices.
Request VOD information
When a coach creates or receives a Request VOD submission, VODsense may process information associated with that request, including:
- request identifiers
- request status
- expiration/revocation information
- provider/source classification
- external video or file-sharing URLs submitted through the request
Clients using a Request VOD link do not need to create a VODsense account.
Gameplay videos and local projects
VODsense is designed as a local-first application. VODsense does not host, proxy, cache, or permanently store customer gameplay video files in VODsense-managed cloud storage.
When a coach imports a local video, VODsense references the original local file rather than uploading or duplicating the video into VODsense cloud storage. Review projects, notes, moments, annotations, and other local project information are primarily stored on the coach's device.
External video and file-sharing services may process video content according to their own terms and privacy policies.
Support communications
If you contact VODsense Support, we may process the information you include in your message so that we can respond to your request and maintain appropriate support records.
Technical information
VODsense and its infrastructure providers may process standard technical information necessary to operate and secure the service, such as:
- IP address
- browser or application information
- request timestamps
- error and security logs
We do not intentionally use this information to build advertising profiles.
2. How Information Is Used
Information may be used to:
- create and authenticate accounts
- provide VODsense functionality
- determine subscription and trial access
- operate Request VOD
- maintain service security
- prevent abuse or fraud
- diagnose errors
- provide customer support
- maintain and improve reliability
- comply with applicable legal obligations
3. Service Providers
VODsense relies on third-party services to operate parts of the product. These may include:
- Supabase — authentication and backend/database services
- Stripe — subscription and payment processing
- Vercel — website and server hosting
- GitHub — software release/download infrastructure
- external video and file providers such as YouTube, Twitch, Google Drive, Dropbox, and OneDrive when users choose to use those services
Those providers process information according to their own terms and privacy policies.
4. External Video and File Links
VODsense may allow users to provide or open links hosted by third-party services. VODsense does not control the privacy or availability of those external services. Opening or using an external service may cause that provider to receive information according to its own privacy practices.
5. Data Retention
VODsense retains account, subscription, Request VOD, support, security, and operational information only as reasonably necessary to provide the service, maintain records, prevent abuse, resolve disputes, or satisfy applicable legal obligations.
Local VODsense project data stored on a user's device remains under that user's control. Uninstalling VODsense may intentionally preserve locally created project data so that it can be restored after reinstalling the application.
6. Data Requests and Account Questions
You may contact VODsense regarding privacy, account information, or deletion requests at:
Some records may need to be retained where reasonably necessary for security, accounting, fraud prevention, dispute resolution, or legal obligations. Deleting cloud account information does not necessarily delete files or project data stored locally on your own device.
7. Security
VODsense uses reasonable technical safeguards appropriate to the service. No online service or software system can guarantee absolute security. Users are responsible for protecting their own account credentials and devices.
8. Children and Client Submissions
VODsense is primarily intended for coaches and other users capable of managing their own accounts and subscriptions. Request VOD links may be shared with clients without requiring those clients to create VODsense accounts. Coaches are responsible for obtaining any permissions required when collecting or reviewing gameplay content from their clients.
9. Changes to This Policy
This Privacy Policy may be updated as VODsense changes. Material changes will be reflected by updating the effective date or otherwise providing appropriate notice where required.
